Terms of Service

These Terms govern access to and use of the Ring The Pro service. They cover acceptable use, billing, customer responsibilities, AI disclosures, and the legal terms most customers expect to find.

01Acceptance

These Terms of Service ("Terms") govern access to and use of the Ring The Pro service, the ringthepro.com website, and any related applications (collectively, the "Service"). The Service is operated by Ring The Pro, Inc. ("Ring The Pro," "we," "us"). By creating an account, forwarding a phone line, or otherwise using the Service, you agree to these Terms.

If you accept these Terms on behalf of a business, you represent that you have authority to bind that business and "you" refers to that business and to you personally.

02The Service

Ring The Pro provides an AI receptionist that answers a customer's forwarded business calls, qualifies callers, captures lead information, books appointments where supported, and delivers transcripts, summaries, and recordings to the customer's team.

Plan inclusions, included minute pools, and feature scope are described on the Pricing page and in the dashboard. We may change feature scope from time to time; we will not materially decrease features that are part of a paid plan during a paid term.

03Accounts

You must provide accurate registration information and are responsible for activity under your account. Keep your credentials confidential, enable two-factor authentication, and notify us promptly of any unauthorized access.

04Acceptable use

You agree not to use the Service to:

Place unlawful calls
Make calls that violate the Telephone Consumer Protection Act, the TRACED Act, the Telemarketing Sales Rule, state Do-Not-Call laws, or any other applicable law.
Operate without consent
Record callers without delivering a disclosure that meets the requirements of the caller's and recipient's jurisdiction. You are the recording party for purposes of all-party-consent statutes.
Send unsolicited marketing
Use the AI receptionist or its outbound SMS to send unsolicited marketing or to engage in deceptive practices.
Forward PHI without a BAA
Forward Protected Health Information to the Service without first executing a Business Associate Agreement and operating on a BAA-eligible plan.
Bypass security or scrape
Probe, scan, or test the vulnerability of the Service without authorization, or use automated means to access the Service in a way that materially exceeds reasonable use.
Misrepresent the AI
Configure the receptionist to deny that it is an AI when a caller asks directly. Some jurisdictions specifically require an AI disclosure (e.g., California Bot Disclosure Law). You are responsible for disclosure compliance.

05Customer responsibilities

You are responsible for the lawfulness of the calls you forward to the Service, for the content of your scripts and disclosures, and for compliance with industry-specific regulations that apply to your business (for example, HIPAA for medical practices, the FTC Telemarketing Sales Rule for telemarketers, state bar advertising rules for legal practices). Ring The Pro provides configurable tooling; you operate it.

06Fees, billing, and trials

Plan pricing is published on the Pricing page. New customers may be eligible for a 14-day free trial; charges begin after the trial unless you cancel. Subscriptions auto-renew at the end of each billing period unless cancelled.

Overage minutes are billed at the published per-minute overage rate for your plan. Plan changes take effect immediately and are prorated. You may cancel from the billing dashboard at any time; the Service continues through the end of the current paid period.

Fees are non-refundable except where required by law.

07Intellectual property

Ring The Pro, the Ring The Pro mark, and the Service are owned by Ring The Pro, Inc. We grant you a limited, revocable, non-transferable, non-exclusive license to access and use the Service during your subscription term in accordance with these Terms.

You retain ownership of your data, including your scripts, configuration, and call content. You grant Ring The Pro the rights necessary to host, process, transmit, and display that data to deliver the Service.

08Feedback

If you send us feedback, suggestions, or feature requests, you grant us a perpetual, irrevocable, royalty-free license to use that feedback to improve the Service.

09Third-party services and integrations

The Service connects to third-party platforms (for example, Twilio for telephony, Stripe for billing, ServiceTitan/Housecall Pro/Clio/Dentrix and similar tools for integrations). Your use of those services is governed by their own terms. We are not responsible for the availability or accuracy of third-party services.

10AI disclaimer; no professional advice

The AI receptionist may make errors. It is intended to capture leads, schedule, and triage — not to give legal, medical, financial, or other professional advice. You should not rely on AI output for clinical, legal, or financial decisions.

Ring The Pro does not guarantee that the Service will detect every emergency, classify every call correctly, or capture every detail. Customers in life-safety verticals should configure escalation rules accordingly and should not rely on the Service as a sole channel for life-safety communications.

11Warranty disclaimer

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

12Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, RING THE PRO'S TOTAL LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE AMOUNTS YOU PAID FOR THE SERVICE IN THE TWELVE MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM. RING THE PRO WILL NOT BE LIABLE FOR INDIRECT, CONSEQUENTIAL, INCIDENTAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, OR DATA.

13Indemnification

You agree to defend, indemnify, and hold harmless Ring The Pro from any claim arising out of (a) your use of the Service in breach of these Terms, (b) your scripts, configuration, or call content, (c) your failure to obtain or deliver lawful consent for call recording or AI use, or (d) your violation of any applicable law.

14Suspension and termination

We may suspend or terminate access for material breach of these Terms, for non-payment, or to comply with law. We will provide reasonable notice when practical. You may terminate at any time by cancelling from the billing dashboard.

Sections that by their nature should survive termination — including ownership, fees owed, warranty disclaimers, limitation of liability, indemnification, and dispute resolution — will survive.

15Governing law and dispute resolution

These Terms are governed by the laws of the State of Delaware, without regard to conflicts-of-laws principles. Any dispute arising out of or relating to these Terms will be resolved by binding arbitration administered by JAMS in accordance with its Streamlined Arbitration Rules. The seat of arbitration is Wilmington, Delaware. Either party may seek injunctive relief in any court of competent jurisdiction.

You and Ring The Pro agree that disputes will be resolved on an individual basis and not as part of a class, consolidated, or representative action.

16Changes to these Terms

We may update these Terms from time to time. Material changes will be communicated by email to the account owner and posted here at least 30 days before they take effect. Continued use after the effective date constitutes acceptance.
